Xero Set-up and Training

We’ll get you up and running with NZ’s easiest-to-manage accounting software… to save you time, reduce your tax costs, and make managing your business a little more stress-free.

This training is conducted by one of our experienced bookkeepers and will typically take between 2-3 hours of your time - at our office, or yours. 

If you're new to business, or new to computerised accounting systems, we'll arrange the bank feeds, set up your Xero ledger, and show you how to use it.

If you're changing to Xero from another system, we'll arrange your bank feeds, set up your ledger, import data from your old accounting system, make sure all your bank transactions are there (so there's no holes) and show you how to use it.

And if you need further support, over your first 3 months… up to 2 hours of response time is covered under our original fee.

This service is available by the hour, half-day or full-day, depending on your requirements.

Our experienced bookkeepers can come in to your office, or manage virtually. We can cover payroll, daily reconciliations, debtor and creditors management, and completing / filing any IRD/GST returns. We’ll sort the paper and emails - and keep you up to date.

Book-keeping Bootcamp

Train up your staff - or yourself - in the ‘book-keeping basics’ that can make maintaining and managing your financials simpler, easier - and more effective.

Our simple training is tailored to your business, and gives you easy tools to get things running smoothly - and keep them that way.

When we book your session, we’ll ask a few questions around the nature of your business and the issues you need to deal with (or find problematic). This allows us to focus your ‘bootcamp’ session around the topics most relevant to your business.

This training can cover topics such as payroll, daily reconciliations, debtor and creditors management, and completing / filing any IRD returns.

This service is conducted by our bookkeepers and will typically take between 2-3 hours of your time - depending on the size and nature of your business. It can be done at your office, or ours.

We’ll meet with you and go over the payroll records you have, to check you're compliant with all relevant laws - and ‘best practice’ systems and reporting. Then, to resolve any issues, we can either update all your records, or show you how to.

We can also provide a simple checklist that you can refer to as you hire new staff, or make changes, in the future. And if new questions arise down the track… 1 additional hour of response time is covered under our original fee.

GST Holiday

Give yourself a break - and let us manage your next GST return. It’s a simple way to ease a little pressure, and top up your resources - for a simple, locked-in price.

This service is conducted by our bookkeepers - and is managed remotely.

All we need is access to your accounting software - or we need details of your income and expenses for the period.

We’ll then code your transactions (if required) then complete & file your GST return and advise you of the amount owing.

Debt Collect

Don’t let outstanding debts be a drain on your time - or your business relationships. Our DebtCollect service lets you outsource the ‘follow up’ to an impartial, effective and courteous process – as a one-off clearance, or ongoing support as required.

This service is conducted by our bookkeepers and will typically take between 1-2 hours to set up, depending on the size and nature of your business. We then dedicate time every month to sending reminders and ringing your debtors.

We’ll meet with you to assess your needs, reviewing your debtors and working out a plan – and giving you an estimate of the time (and cost) required each month, for your approval prior to work starting.

We can set up simple systems in your accounts to send out reminders and have a planned follow up program, phoning your debtors and chasing them regularly to make sure they stick to agreed payments. We can also review your terms & conditions to make sure your customers know what's expected of them.

Going Paperless

We start by meeting with you to go over your accounts, and determine which elements of your software you are already comfortable with - and which information you are unsure of how to read, or unaware of the benefits of.

In particular, we’ll focus on Xero’s reporting functions - discuss their relevance to your business, and how using them more effectively leaves you better informed as a business owner / manager. We’ll also help write more meaningful reports in Xero, that reflect the needs of your business, to make sure you're getting the information you need.

What financial value do you currently get from your staff - and how can you increase it? Our tailored ‘value audit’ highlights the efficiency of your staffing spend… and shows you how to measure, and increase, your potential return on investment.

We’ll write a report in Xero that shows you your Labour Efficiency Ratio – how much of your staff’s time and cost, is directly making you money -  so you can review and keep track of your ratio, each month.  If you don’t use Xero or other accounting software we’ll export a report to Excel.

We’ll then meet with you to explain how this report works, your benchmarks for ideal results, and help you work out the key steps you can take to improve your outcomes.

We may need to get reports from your payroll so we’ll review your accounts first and let you know what we need.

Budgeting and forecasting is vital to business performance - but without an accurate understanding, it’s a step many businesses struggle to get value from. We meet with you, analyse past reports, and draw up a prediction / forecast for the future. We’ll then help integrate it into your accounting system and show how to report on it going forward.

From your accounting system, we prepare an outline of a budget, and meet with you to go over your expectations and refine the budget / forecast.

We’ll enter it into your Xero or accounting system, and show you how to monitor your actual performance against it every month.

Our BizLife Integrator is a 3-step process, working with a senior director, to clearly define your financial ‘bigger picture’ and determine the financial and legal structures that will give you the best outcomes - tailored to your situation, your priorities and your goals.

This service is conducted by a director and will typically take between 1-2 hours of your time in total - at our offices, or yours.

Stage 1 - Where You Want To Go
An initial meeting where we analyse and discuss your current financial profile, any related financial interests, your goals and plans for the future, and any other specific considerations.

Stage 2 - How To Get There
We then send you a report outlining the different options you have for structuring or integrating your personal and business finances, the benefits these changes can deliver, or the risks they can avoid. Once you have reviewed this report, we meet with you to discuss the different recommendations and determine the best course of action for you.

Stage 3 - Making the Changes
We implement the changes agreed on - setting up new structures, liaising with lawyers as required, and providing the accounting support required to move assets or funds in accordance with your instructions.

Virtual CFO

Get a ‘Chief Financial Officer’ with long term, senior experience in financial and business leadership… working directly for you. From ongoing monitoring and performance analysis, to guiding you through big decisions or helping you manage change, your ‘Virtual CFO’ can deliver senior capability and independent advice - with ‘ongoing’ or ‘one off’ service options that can give you high- service accounting support - with greater cost efficiency and flexibility than ever before.

This service is led by one of our senior directors - chosen based on your preference or the specific nature of your business. Your director will enlist the support of other directors, or broader BWMD staff resources as required - with all involvement covered by your agreed service fee. In the event that your usual director is unavailable, another director will take over your support for the required time.

In addition, pre-arranged service hours are provided at a discounted rate - allow you to draw on your support at any time - and entitle you to priority service for any other BWMD support that you may require.

‘Virtual CFO’ support can be structured in two ways:

Regular Support
On a monthly, bi-monthly or quarterly basis, we can review your accounts, provide in-depth analysis of the story they are telling, and give you the recommendations you need for sound financial planning and decisions.

We’d meet regularly (often quarterly) to go over your financial reports, monitor KPI's, and help with financial decisions. 

After an initial meeting to discuss your requirements, we can provide a fixed ‘regular cost’

that outlines the service hours required, and the expected outcomes, over each period - for your approval before work commences.

 

On Call Support
For resource that’s available as and when you need it - pre-paid blocks of ‘service hours’ can be allocated to give you guaranteed senior support to convert opportunities, or resolve issues - with total cost certainty.

These hours can be purchased in advance - letting you quickly respond to any issues or opportunities - or quoted based on a specific issue or challenge, as required.

Rates are calculated based on $1,050 per ½ day / $2,000 per day.

Business Pre-nup

If you’re bringing on new partners or investors – a clear, objective discussion up-front can reduce the angst… and the legal fees! We facilitate an open conversation around potential ‘worst-case-scenarios’ clarify any hidden assumptions and help you make the key decisions - before the lawyers get involved - saving you conflicts… time… and money.

This service is conducted by a director and will typically take between 3-4 hours of your time in total - at our offices, or yours.

We start by meeting with you and your intended shareholders / partners shareholders guide a detailed discussion of the areas where understandings can differ, or agreements can go wrong.

Unlike lawyers - we don’t represent either party. Our service is to facilitate an open discussion, make sure both parties have considered all the angles - and objectively help you reach agreement on all the key points.

We then draft initial agreements, based on those discussions, which you can take to your lawyers with the sticking points already ironed out - so that all they need to do, is write up your legally binding final draft.
